We are looking for an experienced (virtual) Project Coordinator or a superb (virtual) executive assistant to help with our growing beauty / medical device / aesthetic company.

We are an early growth medical device company with products in over 57 countries worldwide and have been established since 2009. We manufacture our product in the heart of Silicon Valley California, but we are officially based in Wilmington Delaware via a virtual office (no employees). We have a small team of professionals located in various places around the world as we are 100% virtual. We have ZERO drama, and our team members are very mature and professional. We have been virtual since day 1 and have all of the tools for anyone to work from home as we use Microsoft Teams.

You will be working with the CEO and founder/inventor/best -selling author/former NASA scientist and he will be mentoring and assisting you along the way. This is a new role for the company so we are very excited to seek someone that is very organized, very motivated and is willing to learn new skills.

Responsibilities:
• Directly support corporate and marketing tasks
• Help manage all aspects of product launch, corporate materials and documentations
• Respond to emails and other forms of correspondence
• Coordinate meetings and calls for internal PM team
• Update and create reports as needed
• Ensure that we have the tools and resources to meet project milestones
• Assist in creating and managing project schedules which include estimates and costs
• Work with internal/external resources to handle project issues as they arise
• Hire resources from Upwork and other resource sites

Requirements:
• Minimum 2 years of experience working as a project coordinator or 5 years VA
• VERY organized, proactive and strong attention to detail is a must as well as an excellent communicator
• Ability to problem solve project issues
• Expert knowledge and proficiency with MS Office applications including Teams, Word, Excel, PowerPoint and Outlook
• Tech savvy and ability to learn quickly
• Must multi-task; with the desire to work in a very fast paced environment and an ability to not become frustrated with last minute changes
• Effective communicator and interpersonal skills; especially when it comes to working directly with senior level executives
• Excellent discretion and judgment
• Ability to work independently with minimal supervision
• Ability to work chatgpt or AI based search systems
